1. About this policy
Future Smiles Pty Ltd (ABN available on request) (“Future Smiles”, “we”, “us”, “our”) is a Melbourne-based lead generation service that connects people who may benefit from dental treatment with trusted, AHPRA-registered partner dental clinics. We do not perform dental treatments.
We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains what personal information we collect, how we use and disclose it, how we keep it secure, and how you can access, correct or complain about the handling of your information. By using our website, completing our eligibility quiz, or otherwise providing us with your information, you consent to the practices described in this policy.
2. What information we collect
Personal information you provide directly, including when you take our eligibility quiz, request an assessment, or contact us:
- Your name, phone number, email address and suburb/location.
- Information about your goals and circumstances that you share with us (for example, that you are seeking permanent teeth, have missing or failing teeth, or wear dentures).
- Any other information you choose to give us during a phone call or written correspondence.
Sensitive information (health information).Some of the answers you provide through our quiz or to our team relate to your dental and general health. Under the Privacy Act this is “sensitive information”, which receives a higher level of protection. We only collect this information with your consent and only where it is reasonably necessary to assess whether you may be a candidate for treatment and to connect you with an appropriate partner clinic.
Technical and usage information collected automatically when you visit our website:
- Your IP address, device and browser type, operating system, and the pages you view.
- Information collected through cookies and similar technologies, including advertising and analytics identifiers (see section 7).
3. How we collect your information
We collect personal information directly from you — through our online quiz, web forms, phone calls, email, and other communications. We may also collect information automatically through cookies and tracking technologies on our website, and we may receive information from advertising and analytics platforms (such as Meta and Google) about how you found and interacted with our ads.
Where it is reasonable and practicable, we collect personal information directly from you. If we receive information about you that we did not request, we will deal with it in accordance with the APPs.
4. Why we collect, hold and use your information
We collect, hold and use your personal information to:
- Assess your responses and determine whether you may be a suitable candidate for dental treatment.
- Contact you about your quiz results and assessment, and answer your questions.
- Connect you with, and refer your details to, a partner dental clinic so they can offer you a consultation.
- Provide, manage and improve our services and website.
- Send you marketing and follow-up communications about our services, where permitted (see section 8).
- Comply with our legal obligations, including advertising obligations under the Dental Board of Australia / AHPRA guidelines.
If you do not provide the information we request, we may be unable to assess your eligibility or connect you with a partner clinic.
5. Who we share your information with
We disclose your personal information to:
- Partner dental clinics. The core purpose of our service is to connect you with an independent, AHPRA-registered Melbourne dental clinic. With your consent, we share the relevant information you provide (including your contact details and quiz responses) with a partner clinic so they can contact you and arrange a consultation. Once your information is shared with a clinic, that clinic handles it under its own privacy policy.
- Service providers. We use third-party providers to run our business — for example, CRM systems, cloud hosting, email and phone providers, and marketing platforms. These providers may access your information only to perform services for us.
- Advertising and analytics platforms. As described in section 7, platforms such as Meta and Google may process certain information for analytics and advertising.
- Legal and regulatory bodies, where we are required or authorised by law to do so.
We do not sell your personal information.
6. Overseas disclosure
Some of our service providers and advertising/analytics platforms (including Meta and Google) store and process data on servers located outside Australia, including in the United States and other countries. Where we disclose your information to overseas recipients, we take reasonable steps to ensure it is handled consistently with the APPs. By providing your information, you consent to this overseas disclosure.
7. Cookies, analytics and advertising
Our website uses cookies and similar technologies to make the site work, understand how it is used, and deliver and measure advertising. This includes:
- Google Analytics — to understand how visitors use our site and improve its performance.
- Google Ads (gtag) — to measure the performance of our advertising and track conversions.
- Meta (Facebook) Pixel — to measure and optimise our advertising on Meta platforms and to show relevant ads to people who have visited our site.
These tools may collect information such as your IP address, device information, and your activity on our site, and may combine it with information held by those platforms. You can control cookies through your browser settings, and you can manage ad personalisation through your Google and Meta account settings.
8. Marketing communications
With your consent, we may send you marketing and follow-up communications by phone, SMS or email about our services. You can opt out at any time by using the unsubscribe link in our emails, replying “STOP” to an SMS, telling our team during a call, or contacting us using the details in section 13. We will action opt-out requests promptly.
9. Data security
We take reasonable steps to protect your personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls, secure systems and reputable service providers. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
10. How long we keep your information
We retain your personal information only for as long as it is needed for the purposes described in this policy, or as required by law. When it is no longer needed, we will take reasonable steps to destroy or de-identify it.
11. Accessing and correcting your information
You have the right to request access to the personal information we hold about you and to ask us to correct it if it is inaccurate, out of date, incomplete or misleading. To make a request, contact us using the details in section 13. We will respond within a reasonable period.
12. Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first using the details in section 13 so we can investigate and respond. We will aim to resolve your complaint within a reasonable timeframe.
